Most academy owners start looking for software on a bad day. A fee month that went wrong, a register that went missing, or a tournament entry list rebuilt from WhatsApp screenshots at midnight. Then the search turns up a dozen products, all with the same screenshots, and it is genuinely hard to tell them apart.

This guide is the checklist a martial arts academy actually needs. It applies to a karate academy, a taekwondo or kickboxing school, a BJJ club or an MMA gym.

Why a generic gym app fails in a dojo

The market splits into two halves, and most academies only ever see one of them.

Gym and studio platforms are built for fitness chains, mostly in the United States and Europe. They are mature and capable, and they will manage your members and take a card payment. What they do not have is a concept of a belt, a syllabus, a grading panel or a bracket. A belt becomes a text field in a notes box. A grading becomes a calendar event. Your tournament does not exist at all.

Tournament platforms are built for events. They run registration, draws and scoring properly, and then they forget your athletes exist until the next event. They know nothing about who trains at your academy, who paid this month, or who is ready to grade.

An academy lives in both halves all year. Buying only one of them means keeping the other half in a spreadsheet, which is the problem you were trying to solve.

The twelve point checklist

Score any product you look at against this. The right hand column is the part that matters, because a feature is only worth what it changes on a Tuesday evening.

Twelve things to check in dojo management software, why each matters, and what you get
1. UPI paymentsWhy it mattersAlmost every parent in India pays this wayWhat you getFees clear the same day instead of waiting for a card or a cash drop
2. Automated WhatsApp messagesWhy it mattersEmail is not where Indian parents read academy messagesWhat you getReminders get opened, so fewer of them need a follow-up call
3. GST invoices generated for youWhy it mattersManual invoices are an hour a month and a mistake waiting to happenWhat you getA clean record at year end without a scramble
4. Belts, grades and syllabus as real objectsWhy it mattersA notes field is not a belt historyWhat you getAny coach can see where a student is, without asking you
5. Grading criteria you can scoreWhy it mattersGradings are judged on several things, not one markWhat you getConsistent grading across examiners, and something to show the parent
6. Attendance at the doorWhy it mattersRegisters filled from memory are incomplete registersWhat you getAbsence patterns you can trust and act on
7. Tournament registration and bracketsWhy it mattersEvents are where your academy is seenWhat you getNo parallel spreadsheet for the one week a year that matters most
8. One record from enrolment to podiumWhy it mattersTwo systems means double entry and two versions of the truthWhat you getA student's fees, belts and bouts all in one place
9. Works on a phone, in a browserWhy it mattersMany academies have no desk and no laptopWhat you getYou can run the academy from the mat
10. Roles for assistant coachesWhy it mattersYou should not be the only person who can mark a registerWhat you getDelegation without handing over your password
11. Export of your own dataWhy it mattersSoftware you cannot leave is software that can raise its priceWhat you getLeverage, and a safety net
12. A free tier or a real trialWhy it mattersA demo shows the product at its best, not yoursWhat you getYou find out with your own students, before you commit

The four India specifics

These are the ones that quietly decide whether the software gets used after month two.

  • UPI, not just cards. A payment link a parent can open and settle in one tap removes the largest source of delay in fee collection.

  • WhatsApp as a first class channel. Sent from a verified business number, on a schedule. Only to parents who opted in. WhatsApp’s Business Messaging Policy requires that consent, so ask any vendor how they record it.

  • Rupee pricing and GST handling. A dollar subscription is a currency risk and an accounting nuisance.

  • Built for Indian academy structure. Multiple batches, several branches, a term intake pattern, and gradings run by a parent body rather than by you alone.

Five questions that end a demo early

  1. “Show me a student's belt history on screen.” If it is a free text field, the product does not understand martial arts.

  2. “Send a WhatsApp fee reminder, now, to my number.” Not a slide about it. The actual message.

  3. “Take a one rupee UPI payment and show me the invoice it generated.” End to end, in the demo.

  4. “Build a bracket for sixteen athletes in three weight categories.” Watch how long it takes.

  5. “If I leave in a year, how do I get my member data out?” A vendor who has a clean answer is a vendor who expects to keep you on merit.

How to trial it properly in one month

A month is the shortest trial that tells you the truth, because it covers one complete fee cycle.

  1. Week one: pick one batch. Not the whole academy. Twenty students is enough to learn everything.

  2. Week one: load them properly. Real names, real fee amounts, real belt history. A trial with fake data teaches you nothing.

  3. All month: run attendance every single class, with whichever coach usually takes it.

  4. Week two: send one real fee cycle through it, reminders included. Count who paid before the due date.

  5. Week three: score one belt assessment in it, to see grading against your own syllabus.

  6. Week four: ask two parents what they saw. Their answer is the one that decides renewals.

  7. Then decide. If the coach and the parents both found it easier, move the rest.

Where KombatOS fits

KombatOS was built for the gap described at the top of this guide: one system that runs both the academy and its tournaments, for martial arts, in India. It is martial arts academy management software and a tournament engine sharing a single member record.

Checked against the same twelve points

Each line below is a feature, what it changes, and what you end up with.

  • UPI payment links and GST invoices. The parent opens one link and pays the exact amount to your academy by UPI, the desk confirms it with a tap, and the GST invoice comes from the same record. The fee clears sooner and year end stops being a reconstruction exercise.

  • Automated WhatsApp fee and renewal reminders. They go out on schedule from a verified business number, so nobody is forgotten and you are not typing the same message forty times a month.

  • Belts, curriculum and grading built in. In karate, a grading is scored on kihon, kata, kumite and spirit, one to five each, and the system works out the overall grade. Examiners stay consistent and the parent gets something real to read.

  • QR and facial check-in. Attendance is recorded at the door in a second, which makes absence patterns trustworthy enough to act on.

  • A full tournament engine. Registration, brackets with seeding, live scoring, check-in, medal desk and public results, so the one week that defines your reputation does not run on printouts.

  • One roster, floor to podium. A student who joins the academy is one step from competing, and every bout adds to their permanent record. No double entry, ever.

  • Never priced per student. Members pay you, not KombatOS. You pay one flat monthly plan in rupees, so enrolling your next twenty students does not add twenty charges to your bill.

One system instead of a gym app plus an events tool plus a spreadsheet, and a bill that does not grow with every student you enrol.

Being straight about the trade: KombatOS is narrower than a general fitness platform. If you run a fitness gym with treadmills, a retail counter and a juice bar, a generic studio product may suit you better. If you run a martial arts academy, the belts and the tournaments are the whole point.

Every new academy starts with thirty days of the full Pro plan, no card required, so you can run the one month trial above without paying anything, and there is a free plan after it. Compare KombatOS plans and pricing, or read what a combat sports operating system is.

Built and used every day by a working martial arts academy

KombatOS is not a software company’s guess at how a dojo runs. It is built inside a working academy, and used there every day.

40+ academies now run on it, from karate clubs to MMA gyms.

It also ran the Sanshinkan All India Open Karate Championship 2026 at Talkatora Indoor Stadium in New Delhi, taking about 500 athletes from registration to podium on one system.

Run the one month trial.

Start free, load one real batch, and judge it over a full fee cycle on your own students rather than on a demo.

Frequently asked questions

What is dojo management software?

It is software that runs the business of a martial arts academy: members and enrolments, fees and invoices, attendance, belts and grading, and communication with parents. Dojo management software differs from general gym software in that belts, syllabus and tournaments are built in rather than improvised in a notes field.

Can I use normal gym software for a karate academy?

You can, and many academies start there. It will handle members and payments. What it will not do is track belt history, score a grading, or run your tournament, so those move to a spreadsheet and you end up maintaining two systems. In India it usually also lacks native UPI and WhatsApp.

How much does dojo management software cost in India?

Products aimed at Indian academies are typically a flat monthly subscription in rupees, with a free tier for small academies. Platforms built for Western gyms are usually priced per month in dollars, and event platforms often charge per athlete per event. Avoid anything priced per active student, because your cost then rises with every enrolment.

Do my students have to download an app?

They should not have to. Look for something that runs in a phone browser, where you operate the system and the member portal is a bonus for students and parents rather than a requirement. If a product only works when every student installs and logs into an app, adoption will stall.

How long does it take to move an academy onto new software?

Plan for one afternoon to load members and fee amounts for one batch, one month to trial it properly on that batch, and a further week to move everyone else once the coaches are comfortable. Backfilling old belt history can happen gradually after you go live.

How long should a dojo management software trial be?

One month. That is long enough to run a complete fee cycle with reminders, mark attendance in every class, and hear back from parents, which are the three things that decide whether software sticks. A two week trial usually ends before the first fee due date, so you never see how the software handles your actual collections.
